A regional hospital in New Zealand faced a major challenge when a new Financial Management Information System (FMIS) was introduced, nationwide. The hospital had to adapt its core systems, including some critical legacy systems, to integrate with their new FMIS. Unlike the former finance system that handled all aspects of Finance and Supply Chain data, the incoming FMIS lacked data storage and reporting capabilities - a daunting prospect!

The situation was complex and risky. The outgoing FMIS was the system of record for finance, payroll, and supply chain departments, producing reports that informed decisions at all levels of the organisation. While surface-level data from the existing system was accessible, the underlying variables and calculations for Key Performance Indicators (KPIs) were neither documented nor known. Moreover, there were numerous exceptions and implicit business rules that were applied to data tables data before publication.

Our task was to develop a unified relational data warehouse capable of consolidating, transforming, and preserving data across finance, payroll, and supply chain operations. Our goal was to replicate and enhance legacy systems for reporting KPI's eliminating the need for manual adjustments pre-publication.

Our most important action was to partner with the finance, payroll and supply chain business units to deconstruct and rebuild their KPI reports. Over six months, we embarked on an iterative journey which began with building Azure pipelines that processed data from various systems into a centralized cloud-based Data Warehouse. Each KPI reconstruction was meticulous, using historical data as benchmarks to recalibrate and recover the original logic, ensuring accuracy across different timeframes.

Out team provided the necessary Project Management and Development expertise, to:

  • Document reports and KPI's to identify and preserve intricate detail and information,

  • Reverse-engineer each KPI to unravel its data sources and applied calculations,

  • Architect and implement an Azure system infrastructure to facilitate data workflows,

  • Partner with Business Intelligence teams to write new business reports,

  • Implement and refine the new reporting process, and

  • Support new business-as-usual operations.

The result was a streamlined and automated data management and reporting system for the hospital. This included vital payroll details such as staff leave balances and outstanding payments. The new automated reporting system delivered several benefits:

  • Expedited report generation for business units by automating data table delivery and transformations.

  • Decreased month-end costs by eliminating manual reporting procedures, allowing reallocation of staff time and resources.

  • Improved the quality of reports for essential hospital functions by refining business rules, which supported data-driven decision-making, policy development, and continuous improvement.

This project showcased Pro Partner's expertise to quickly and accurately complete detailed requirements analysis and workflow reengineering to enhance the operational efficiency within the healthcare sector. The swift and secure upgrade of these critical systems ensured the continuity of vital hospital service reporting.

"On a time sensitive project you collaborated with developer & SME to prioritise key functionality and corrective action to ensure a successful outcome"

William van't Sant, Head of Finance

"Extracting the data from the application and processing it into usable data for the BI team was one of the biggest challenges facing the project. Your ability to set clear expectations with the technical team, as well as liaising between both parties ensured high quality delivery in the timeframes expected."
